System Startup
- At the podium, tap the touchscreen control panel to wake it up.
- Follow the on-screen prompts to power on the room.
- Allow the system several moments to fully boot. Multiple devices power on in sequence, so not everything will be immediately available.
Important: Do not repeatedly tap buttons or assume the system has frozen. Allow each command time to process.
Projectors & Displays
- The room contains three projectors.
- All three projectors must always be set to the same input source.
- The podium computer does not automatically power on when the room starts. If the presenter wishes to use the podium PC, it must be powered on separately.
Podium Monitors
There are two monitors at the podium:
- Left Monitor: Always displays the podium PC.
- Right Monitor: Displays the source currently being sent to the projectors.
Changing Display Sources
- Select the desired source at the podium.
- On the touchscreen, select each projector/display and change it to the same source.
- Verify all three projectors are showing the same input.
Note: The projectors can be muted or powered off independently while leaving the rest of the AV system running. This is useful for audio-only meetings.
Using the Podium Computer
The room fully supports hybrid and virtual meetings, but these must be run from the podium PC.
Users have two login options:
- Sign in using the Staff Development Lab account (credentials are located on the keyboard).
- Sign in using their own DPS account.
Technicians should never sign into the podium PC using their own DPS account for someone else to use.
If the presenter prefers not to use the podium PC, they may connect their own device using:
- USB-C
- HDMI
Microphones
The room includes five wireless microphones:
- 3 Handheld microphones
- 2 Lavalier microphones
Important
One handheld and one lavalier are labeled:
- 4A
- 4B
These two microphones share the same wireless receiver and cannot be used simultaneously.
Audio Controls
The touchscreen provides controls for:
- Microphone volume
- Podium PC audio
- External input audio
- Camera controls
- Microphone battery levels
Battery status for all wireless microphones can be viewed within the Audio section of the touchscreen.
Microphone Limiter
The microphones are configured with built-in limiters to reduce feedback.
If a presenter:
- yells,
- speaks excessively loudly,
- or places the microphone improperly,
the audio may temporarily cut out.
Encourage presenters to:
- Hold the microphone close to their mouth.
- Speak in a normal conversational voice.
Camera Controls
Camera controls are located on the same touchscreen used to operate the room.
Use these controls for:
- Camera positioning
- Camera presets (if needed)
- Hybrid meeting operation
Touchscreen Best Practices
The control system responds best to deliberate, firm touches.
Please avoid:
- Rapidly tapping buttons
- Pressing the same button repeatedly
- Quickly navigating through menus before commands complete
- Abruptly shutting down the room because something appears unresponsive
Doing so can interrupt communication between devices and may cause portions of the system to stop responding.
Basic Troubleshooting
If any portion of the room is not functioning correctly:
- Turn the AV system completely off.
- Wait approximately 2–3 minutes.
- Turn the system back on and allow it to fully initialize.
If the issue persists:
- Note exactly what is not working.
- Notify Javin Griffin or Shatasha Boney with as much detail as possible.
